Editable Customer Invoices

mcfraremcfrare Member Posts: 4

Hi, we recently switched from LS Onsite to LS Retail and previously you were able to edit an invoice after it was finished. As of now, we were told that we have to return/void the entire invoice and then start a new invoice. We often times have customers switch payment methods, change addresses, change pick up/delivery instructions and we need to be able to make edits in their invoice without having to start completely over.

Thanks,

Emily

    Hey @mcfrare ,

There are some modifications you can perform after the sale is complete, by example:

If your payment type is non-integrated (so any payment type that is not a Credit account, Credit Card or Debit card, should you be using an integrated gateway) You'll know it's non-integrated if you go into the finished transaction card on the Payments tab and see the drop-down for the payment type used for the sale.

(If it's integrated, there will be no drop-down and will not be possible to change it, the only way would be to perform a refund to a non-integrated payment type like cash and perform the sale again as the payment type wanted).

You can also modify the internal and reciept notes after the sale is completed as well, via the Details tab. (ex:)

    Hope this helps!

    Hi Vanessa

Yes, we understand that we can modify certain aspects of an invoice after the fact, but we need to be able to change items, remove items, add items, change sales tax, modify the addresses, etc. all AFTER the sale is complete. the reasons for this are too numerous and frustrating to go through, but, just like you were able to 'unpost' an invoice in OS and then make changes and then take additional payments or refund specific balances if need be, we HAVE to have the ability to edit a sale after the fact. we've already had so many things go wrong between our shopify integration and quotemachine that, within just a couple of weeks, our sales numbers and inventory are already significantly off.

This needs to be addressed and, frankly, is 'Retail 101'. I have NEVER used a system that didn't at least allow 'Admin/Owner' level users to make changes to sales after the fact.

agree with author of this post, bummer regarding restrictions to editing in Retail. On Site you could edit anything such as item (say sales person entered misc. item and wanted to go back to correct to the actual item - no can do). Also you cannot edit payment date (for manual payments). Say customer entered incorrect cash amount received, you cannot adjust.

The way to deal with changing an item or description is as a refund.

Refund the incorrect item, and add a new one to the same sale (or just a new description).

It's a stupid work around, but it seems to get us out of trouble until they fix it (if they ever fix it).

(I often wonder if the Management or Owners of LS look here... Whether they think "Thing are doing things well despite these complaints" or if they just don't realise how many of their Onsite transfer customers they are actually burning and will lose with this setup and lack of clarity)..
